THE STABLES HOLIDAY LETS

 

Booking Terms & Conditions

Thank you for choosing to book your stay at The Stables, Kersey Mill. By making this booking you are entering into an agreement with us, so please take time to read through the following Booking Terms. You will need to have appropriate holiday insurance in place in the event you have to make a cancellation.

 

1. Contract

The Contract for a short-term holiday rental shall be made between the Client and The Stables Holiday Lets. The contract shall be governed by UK Law. It will be entered into when the deposit is processed and The Stables Holiday Lets issues a confirmation letter, by email. By making a reservation you are deemed to have accepted our terms and conditions. The Contract will be subject to the following booking conditions.

 

2. Booking via Third Party websites

Please refer to third party Terms and Conditions with regards to payments and cancellation policy only.

All other Terms & Conditions set out below (clauses 8 -31) apply.

 

3. Booking direct with The Stables Holiday Lets

The Client making the booking agrees that they are authorised to make this booking on behalf of all persons who shall be renting the property and agrees to take full responsibility for the property and the payment of any rental fees or damages. 

 

4.Booking Deposit

A deposit of 25% of the rental fee is payable if the booking is made more than 8 weeks before the commencement of the rental. The balance must be paid in full eight weeks before the commencement of the rental. Non-payment of the balance of the rental on or before the due date shall be construed as a cancellation of the contract by the Client and any deposit payments made not refunded. For bookings made less than eight weeks before the commencement of the rental, the total rental fee is payable at the time of booking.

 

Upon booking you should receive confirmation and any payment receipts applicable via email. Please pay any deposits online by BACs, the bank details are included in your confirmation email. Please remember to quote your booking reference with your payment. If for any reason you do not receive your booking confirmation please email or call the team and let us know.

You will then receive a further email with all your Guest Information that is needed for your stay. This should arrive 1 month prior to your stay or immediately upon booking thereafter. Please read through the Booking Terms & Conditions and Guest Information documents prior to your arrival. Once you have read all the relevant information, if you have any further questions or concerns please email us via contact@holidayletssuffolk or call 01473 829317 and leave a short message and we will call you back.

 

5.Security Deposit

A £100 security deposit is added to the booking cost and is fully refundable except for any costs due to breakage, damage, extra cleaning, or charges levied by the Management for damage to their property or facilities and/or costs arising from noise or disturbance to other guests and owners. The Security Deposit will be returned to you within two weeks of your departure. 

 

6. Payment

Our prices are inclusive and quoted in Pounds GB. Payment to be made by online bank transfer, or over the telephone.

 

7. Cancellations

Any cancellation made by the Client for whatever reason must be in writing. Once the booking has been confirmed the deposit becomes non-refundable. For cancellations made 6-8 week prior to the arrival date, 50% of the total rental fee will be payable, for cancellations made 4-6 weeks prior to the arrival date, 70% of the total rental fee will be payable, for cancellations made less than 4 weeks prior to the arrival date 100% of the total rental fee will be payable. The Stables Holiday Lets strongly recommends that the Client takes out insurance against cancellation.

 

8. Period of Hire

The prices quoted are per night per room, for a short break on a room only basis. Check in is from 3.00pm on the day of arrival and check out  by 11.00am on the day of departure. Please note The Stables Holiday Lets are available from Easter to 31st October only.

 

9. Advertised Facilities

Not all items, equipment and facilities advertised may be available at all times due to breakdown, malfunction, or other reasons. The management of The Stables Holiday Lets will try to rectify any malfunctions as soon as possible but no refund of any or all of the money paid by the customer will be made.

 

10. Occupation of The Stables Holiday Lets

The number of persons occupying the property must not exceed the maximum number stated for each of the rooms available. The Stables Holiday Lets reserve the right to refuse entry to the entire party if this condition is not observed. The accommodation must not be sub-let. 

 

11. Check in/check out

Unless previously agreed check in is between 3pm and 7pm on the day of arrival and check out is by 11.00am on the day of departure. Each room will have self check-in via an electronic door code, which will be emailed to you 1 day in advance of your stay. The room keypad is located outside by each door. 

 

12. Late Arrivals

We ask that you inform us of your planned arrival time. You must inform The Stables Holiday Lets if your arrival time changes substantially. If you are liable to arrive after 9.00pm you must make arrangements in advance with the management for access to the site, as the front entrance is gated overnight.

 

13. Services

Rental charges include bed linen and towels and for use during your stay. Beds will be made up prior to your arrival only. Electricity, gas and water are included within the rental charge.

 

14. Care of the Property

The Client shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as was found at the beginning. No candles are to be used in the rooms. No furniture, bedding, kettles etc are to be moved from or between rooms.

 

15. Inventory

All room have air conditioning, TV, internet, tea/coffee making facilities, hairdryer, towels, linen and toiletries. All rooms have an ensuite shower and one of them (No. 7) includes disabled facilities with a wet room).  Room Nos 1, 2 &. 3  family rooms) have ensuite showers and Rooms 2 & 3 also have a bath. Room No. 8 has a roll top bath and shower.

 

16. Fixtures & Fittings

All fixtures, fittings and equipment must be used solely for their intended purpose. The Stables Holiday Lets request that you do not take into the rooms any portable heaters, lighting equipment or any items that may cause danger to the properties, its equipment or its occupants. Any bulky items such as bicycles, fishing or golf equipment are not to be taken into the rooms.

 

17. Breakages, Damage or Missing Items

The Client is legally bound to The Stables Holiday Lets for breakages, damage, missing items or excessive cleaning required caused by the party during the period of the rental.

 

Please be up front and let us know of any breakages or damage to the room. We are understanding in most instances and the benefit really is so that we can make sure items are replaced in time for the enjoyment of our next guests. Therefore please notify us as soon as you can during your stay if this happens. 

 

If the cost of the damage is significantly higher than the security deposit, then an additional amount will be requested that is reflective of the damage caused.  Please adhere to your departure information and leave the room as you found it or as near as possible. Failure to adhere to the departure information causes excess cleaning time and therefore will incur extra cleaning costs for us as a business. Please be considerate where possible.

 

18. Complaints

The Stables Holiday Lets endeavours to ensure that everything is to your satisfaction during your stay. Should there be any cause for complaint during the occupation of the property, it must be notified promptly to the management and in the case of a serious problem confirmed in writing.

 

19. Smoking and Vaping

Following Government legislation, The Stables Holiday Lets operates a no smoking or vaping policy within the guest rooms.

 

20. WiFi

The WiFi internet connection is provided free of charge. If it fails, we will do everything possible to get it reconnected but we do not guarantee availability. Please use the internet responsibly and ensure that illegal material is not viewed or downloaded using our WiFi connection. Our WiFi service is for general surfing and checking email/social media only and strictly NOT for any streaming, prolonged You Tube watching or up/downloading. Abuse of this will require charges back to guests. Please be aware that we are charged over £20/gb for extra usage above our daily allowance so these additional fees can mount up for guests. There is plenty of WiFi capacity for general use as detailed above. It is the responsibility of the person placing the booking to ensure all of their guests are aware of the above.

 

21. Additional Services

Links are available on our website for you to book additional services including breakfast/lunch at The Miller’s Kitchen, hairdressing/barber services at Studio 10 or EA Men’s Hair, and Kersey Mill Fitness. These are all independent businesses, so please check availability and their own Terms & Conditions when booking on their individual websites. Advance booking is recommended.

If you have any special requirements please email these to us and we will do our best to accommodate them.

 

22. Visitors

Only those persons notified to are entitled to occupy the accommodation allocated. If you receive visitors during your stay who are not resident at The Stables Holiday Lets you must inform the management. You will be held responsible for the behaviour of your visitors while they are on the site.

 

23. Pets

The Stables Holiday Lets operates a no pets policy, with the exception of Assistance Dogs. Please make contact in advance of booking to confirm details.

 

24. Parking

Parking of vehicles must be in the designated car parking space. 

For Room Nos. 1 to 3 this will be on the private driveway to Kersey Mill and for Room Nos. 4 to 8 this will be the main car park. Please refer to the site map on our website wwwholidayletssuffolk.net. Your vehicles, their accessories and contents are left entirely at your risk. The Stables Holiday Lets will not be responsible for any loss or damage from or to any vehicle. Repairs to vehicles (except emergency repairs) must not be carried out on site.

 

25. Liability

The Stables Holiday Lets cannot accept liability for any damage; expense, injury, death or loss of any nature whatsoever suffered by any person(s) from any cause other than the proven negligence of us or our employees. You must take all necessary steps to safeguard your personal property and no liability to you is accepted in respect of damage to or loss of such property.

 

26. Force Majeure

The Stables Holiday Lets cannot accept responsibility or pay compensation where the performance of our contract with you is prevented or affected by reason of circumstances which amount to force majeure. These circumstances include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage (including a period of electricity failure), break-in, criminal damage, riots or civil strife, natural or nuclear disaster, war or threat of war, actual or threatened terrorist activity and all similar situations beyond our control.

 

27. Right of Entry

We will not normally enter a room once let without your agreement, however employees of The Stables Holiday Lets shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance. 

 

28. Site Management

The site will be regularly monitored by the management team. Please email contact@holidayletssuffolk.net if you have any concerns during your stay.

 

29. Lost Property

A minimum charge of £10 is made for the return of lost property after your departure. Items of lost property can only be held for a maximum of one month after which time they are donated to charity. We cannot be held responsible for items reported lost which cannot be found. Property is at all times the responsibility of the owner.

 

30. Privacy

Protecting your privacy is important to us and we will strive to keep your personal information confidential. Your details will be kept on our database to enable us to keep you up to date with any future offers, information or mailings. We do not give any information to third parties or use information gathered in any other way than those described above. If required by law or legal process to disclose your personal information we will do only in accordance with the law.

 

31. Terms and Conditions

The Stables Holiday Lets reserves the right to change or amend these terms and conditions at any time.

 

Please Note: We reserve the right to terminate the agreement / booking without refund of money if the behaviour of any guest is considered unacceptable, or if the number of occupants exceeds that stated at the time of booking.

 

Our booking fee DOES NOT include holiday insurance. We therefore recommend that you take out separate Holiday Cancellation Insurance to cover you in the event that you have to cancel or terminate your holiday unexpectedly.
